The challenge
As a startup established in 2014, Naughty Ninos faced many operational challenges that hindered their growth and efficiency, especially when they started to expand their presence across major ecommerce platforms. During peak seasons, production demands surged, further highlighting inefficiencies in inventory management, employee coordination, and overall operations. The lack of automation and integrated tools further complicated their rapid expansion.
Additionally, their existing tools—like Tally, Unicommerce, Gmail, and a third-party HR application—each operated with their own APIs, preventing seamless workflows and resulting in manual work that slowed operations. Filing GSTs and VATs became increasingly difficult due to fragmented data and a lack of proper reconciliation tools.
Here are some specific challenges that were faced by Naughty Ninos:
- Lack of inventory management: Naughty Ninos’ warehouse management system (WMS) couldn’t effectively manage stock across multiple ecommerce platforms.
- Tax filing: Manual data handling caused inefficiencies in tax compliance processes. VAT and GST returns were often delayed due to an inability to reconcile and analyze data across various platforms.
- Lack of automation and integration: The lack of automation slowed down operations, especially during peak production seasons. Key processes like order tracking, payroll management, and inventory updates were manual and time-consuming. Since tools like Tally, Unicommerce, Gmail, and HR apps weren’t integrated, they slowed smooth business operations.
“I believe we’ll be able to achieve our future goals with the help of Trigya Innovations and Zoho One.”
The solution
To address the operational challenges faced by Naughty Ninos, Balvinder Singh from Trigya Innovations introduced Zoho One, a unified suite of applications designed to streamline business processes for Naughty Ninos. With its robust tools and seamless integrations, Zoho One became the foundation for automating critical operations such as accounting, inventory management, HR functions, and more. Zoho One empowered Naughty Ninos to overcome inefficiencies, reduce manual tasks, and achieve a cohesive workflow across all business functions, setting the stage for sustained growth and expansion.
The art of inventory management:
Managing a business across major ecommerce platforms requires a well-structured inventory management system. During peak festive seasons, the flow of stock increased significantly, making inventory tracking even more challenging. Although Unicommerce was being used as an inventory management tool, it didn’t work as a comprehensive solution for online inventory management. This is when Zoho Inventory was introduced to streamline their processes. Zoho Creator was also implemented as a middleware, seamlessly syncing with Unicommerce to manage all stock movements.
Here’s how the system works: When an order is placed on Amazon, it syncs with Unicommerce and is instantly updated in Zoho Creator. Zoho Creator then transfers the data to Zoho Inventory, and the same updates are synced in Zoho Books. Packaging and shipping, handled by a third-party courier service, are also integrated with Zoho Inventory through APIs. This ensures real-time updates, enabling smooth inventory tracking and efficient operations.
Simple and effortless bookkeeping:
Maintaining accurate accounting records is crucial for keeping a business running smoothly. However, Naughty Ninos struggled to file GSTs and VATs on time due to challenges in analyzing and reconciling data from everywhere they sold their products. Initially, they relied on Tally, a well-known accounting software. While Tally offered excellent features for accounting needs, its inability to sync and integrate with other apps became a significant limitation.
To address these issues, Zoho Books was implemented. A key advantage of Zoho Books was its ability to sync with Naughty Ninos’ banking system, offering tight integration with payment gateways. Additionally, its integration with Zoho Inventory ensured that stock movements and sales were automatically updated, maintaining accurate records. Zoho Books also synced directly with GST portals, allowing the accounting team to file taxes effortlessly and manage processes without data mismatches or delays.
HR reimagined:
Tracking employee attendance can become a challenging task, especially as the team grows. Naughty Ninos previously relied on a third-party HR app, but it lacked seamless integration with biometric and face-scanning devices, making the process inefficient and error-prone.
To resolve this, Zoho People was introduced. By integrating with third-party devices using different APIs, Zoho People ensured seamless synchronization across systems. This integration allowed the HR team to accurately track attendance and, by the end of the month, finalize payroll and salaries. The payroll data was then effortlessly synced with Zoho Books, streamlining the entire process and eliminating manual errors.
Looking forward
After successfully optimizing their ecommerce operations, Naughty Ninos is gearing up to establish an in-house manufacturing facility. This expansion will require robust solutions to manage a growing team, increased operational demands, and enhanced revenue streams. In the future, Naughty Ninos plans to collaborate further with Trigya Innovations to implement more Zoho One products:
- Zoho Cliq: To facilitate efficient internal communication, especially with their larger workforce.
- Zoho Projects: To streamline task management and oversee daily operations with precision.
- Zoho Analytics: To synchronize data across Zoho’s ecosystem for actionable insights and to track key business metrics, as all Zoho apps seamlessly feed data into Zoho Analytics.
- Zoho Commerce: To leverage API capabilities and integrate with Zoho Inventory and Zoho Books for future B2C operations.
This strategic expansion marks another step in Naughty Ninos’ journey to scale operations and achieve greater success in both manufacturing and ecommerce.
Conclusion
Naughty Ninos’ journey from an ecommerce startup to a thriving multi-platform business is a testament to their resilience, adaptability, and vision. By partnering with Trigya Innovations, they successfully navigated operational challenges and implemented Zoho One to create a seamless and automated business ecosystem. As they move toward establishing an in-house manufacturing facility and exploring B2C opportunities, Naughty Ninos is well-equipped to scale new heights and continue delivering excellence in children’s fashion by not just chasing success but defining it, one stylish outfit at a time.
